Three kinds of license hide behind one label

Listings in this category are administrative entitlements, not programs for a single desktop. Some are annual add-ons to an existing cloud subscription, such as a phone system for a business productivity suite. Others license server software, where the server and the users or devices that connect to it are licensed separately. A third group unlocks management features for fleets of mobile devices. Work out which kind you need: each has a different owner, a different activation route and a different renewal date.

Prerequisites decide whether a license is usable at all. A cloud add-on normally needs a qualifying base plan on the same account, a server license needs supported hardware and a compatible operating system, and device-management licenses need compatible devices enrolled in the vendor's console. Check the product version in the title, such as a 2019 server edition, against what you actually run, because a license for one version may not cover another.

Count the seats and find out who redeems the key

Licenses are counted by seat: per user, per device or per server. Count how many people or machines need coverage now and over the whole term, and ask whether seats can be added later. Annual terms end on a fixed date, after which the features can stop working, so put the renewal in a calendar. Keys and entitlements are normally redeemed by an administrator in the vendor's admin portal rather than by an end user, so make sure someone with admin rights is available.

Add-on licenses generally attach to an existing account or tenant and need an administrator to assign them to users. Check that your base plan qualifies for the add-on and that the add-on's term lines up with the plan's renewal date.

What happens when the annual term ends?

The entitlement lapses on the end date, and the related features can stop working until it is renewed. Note the expiry, plan the renewal ahead of time, and read the description to see whether the license can be extended or has to be bought again.
